Workflows: A Quick Definition

A workflow in Marmind is a structured, automated process that helps teams manage tasks, approvals, and decision-making efficiently. It ensures consistency, saves time, and reduces manual effort.

With Marmind’s visual workflow designer, users with admin rights can easily create and customize workflows to fit their needs. For example, if your organization requires a structured process for budget approvals, you can design a workflow that automates each step—from submission to final approval—ensuring a smooth and transparent process.

Why Workflows Matter: Key Benefits

To make the most of Marmind, it's essential to understand the differences between three key Marmind tools:

âś… To-Dos
âś… Checklists
âś… Workflows

Each serves a unique purpose in streamlining your marketing processes. Below is a quick overview of what they do and how they differ.

As you can see, Workflows simplify complex processes by automating repetitive steps, eliminating the need to manually create individual To-Dos or Checklists each time. This streamlines your work, boosts efficiency, and saves valuable time—allowing you to focus on what truly matters.

Essential Workflow Features You Should Know

Marmind’s workflow feature offers a range of powerful automation capabilities to streamline your processes. Here’s what you can do with workflows:

  • Automatically Update Object Status – Workflows can change the status of an object based on predefined conditions, ensuring seamless progress tracking without manual intervention.

  • Trigger Notifications & API Transfers – Keep your team informed by sending automated notifications and seamlessly transferring data to other integrated systems via APIs.

  • (Mandatory) Field Validation – Ensure data accuracy and completeness by enforcing required fields before an object can move to the next step.

  • Modify Object Attributes – Workflows allow you to edit or overwrite specific attributes of an object, ensuring consistency across your data.

  • Create New Objects – Automate the generation of necessary items, reducing repetitive manual work.

  • To-Do Creation (Possible but not recommended) – While workflows can create To-Dos, this is generally not advised to maintain streamlined and automated processes.

  • Step Visibility in Grid View – Easily track workflow progress with a clear, structured view of each step within the grid.

By leveraging these features, you can automate key processes, enhance collaboration, and save time, making your workflow more efficient and reliable.

Real-World Examples of Workflows in Action

Workflows in Marmind help automate approval processes, ensuring smooth collaboration and efficient decision-making. For example, before launching a marketing campaign, the briefing must go through a cross-check and approval process before receiving the status Approved. Similarly, a newsletter containing multiple assets—such as text and visuals—must receive final approval before being sent or transferred to the next system.

In content production, multiple approval stages may be required before publication, ensuring quality and alignment with brand guidelines. Financial workflows can also be automated—budgets must be requested and approved, invoices need verification, and planned costs may require different approval levels depending on the amount before being included in the forecast. Even supplier management can benefit from workflows, as vendors must be approved before they can be assigned to planned costs.

By implementing these workflows, teams can streamline processes, reduce manual follow-ups, and ensure every step follows a structured, efficient path.

Setting Up Workflows: Configuration Options

You don’t have to set up workflows on your own! Initially some default workflows are already set up in your Marmind product to get started right away. The Marmind Team is here to help you identify the best additional workflows for your company’s needs and will take care of creating them for you, ensuring a seamless and efficient setup.
